Job Summary:

The Executive Assistant will provide high-level administrative support to our executives in the Shreveport office. This person must be able to provide and lead support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization. The ideal individual will have the ability to exercise good judgment in a diversity of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.


Job responsibilities include:


  • Use initiative/judgement to solve unexpected issues & accomplish misc. tasks assigned by Jim or Thomas
  • Provide project cost accounting from Ajera from previous projects (for profitability) to assist with new proposals for similar projects.
  • Finalize all proposals and obtain appropriate original signatures.
  • Request Certificates of Insurance from Tyler (Cindy) upon client request
  • Document storage (digital & anything printed) relative to proposals.
  • Backup secretary/reception (does not include phones)
  • Notify Jim and Thomas when state registration for PE License is up for renewal.
  • Check state registrations for individual engineers, as well as the company.


  • Prepare proposal drafts for Jim/Thomas markup.  (Proposal Request Form is available, but not normally used)
  • Include as much detail as possible from email, plan sheets, other support documents.
  • Email final proposals to Client. Track pending proposals.
  • Review/evaluate Client agreement/contracts before presenting to Jim or Thomas.

Business/Office Services:

  • Coordinate company cell phone replacement as required, get approval from Jim/Thomas & CFO, and notify A/P Manager.


  • Assist Marketing Team as required to respond to RFP/RFQ requests.  Mostly supply relevant projects and project descriptions from project managers.

Human Resources:

  • Greet candidates scheduled for interviews.  Present job descriptions with technical and physical qualifications.
  • Be a point of contact for new hires for any questions they may have that are HR related or otherwise.
  • Help insurance agents, 401K advisors, or other benefits partners when they come for meetings and lunch and learns.
  • Help coordinate with Tyler for in office trainings and events.
  • Be a resource for Employee Navigator help.
  • Help relay HR related issues and questions to Tyler.


  • Bachelor’s degree preferred.
  • Excellent computer skills, including the Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
  • Deltek Ajera experience preferred but not required.
